A Personal Approach
We believe that our greatest strength and appeal is that we are in close proximity to all of our properties and are hands-on in the daily operations of each and every property. The following list offers a few policies which distinguish us from our competition and some insight as to how we are able to serve our associations well:

* In office Monday through Friday from 9:00 to 4:00
* Conduct business from an office located on Ocean Isle Beach
* Answer incoming calls personally
* Provide 24 hour contact availability
* Know our homeowners and presidents by name
* Visit properties regularly
* Respond quickly and efficiently to all maintenance issues
* Deal very closely with insurance companies and agents on a daily basis
* Request that our insurance agents attend annual meetings to answer questions

Company Philosophy and Objectives:
Our goal is to provide professional management services and personal oversight to property owners and homeowners associations in the South Brunswick Islands. We feel that this can be accomplished by concentrating on three areas:

* Communication: Good communication is imperative between the President, Board of Directors and the
management company if the association is to operate smoothly. Management is not a 9-5 job, and we
are available to assist you at any time we are needed. Regular communication will be encouraged and maintained.
* Performance: We must and will follow-up on any direction or duties that we are given by the Board of Directors.
Implementation of programs or projects will be given top priority and reviewed weekly.
* Professionalism: We have and must maintain a high level of knowledge and understanding of our industry. We
are a member of Community Associations Institute, and, through continuous education, we will strive to stay on
top of developments, both local and national, which may impact your association.
We realize that being an officer or board member of an association is a time-consuming and often a thankless job. Few people realize the time and expense donated by individuals who agree to serve in these positions. Our company is here to lighten that load and make your job easier and more enjoyable. We will work hard in these areas to provide your association with the best service available at a reasonable and competitive fee.
Company Services:
Accounting/Finance
* maintain all associations’ funds in individual FDIC trust accounts
* prepare annual operating budget
* prepare, review and analyze monthly financial reports
* maintain all accounting records in such a manner as to facilitate annual audits and preparation of tax returns
* make recommendations to the board or finance committee for investing surplus or reserve funds
* keep Board of Directors duly informed of any problems
* collect all monthly assessments for the association
* collect all special assessments for the association
* handle delinquency collections
* handle all purchases and pay all expenses and obligations of the association
* offer automated bank drafts for associations
Administrative
* prepare agenda, send notices and proxies, and attend meetings of the Association’s Board of Directors
* record and distribute minutes of annual meetings of the associations and perform follow-up actions directed by the Board
* prepare and send new owner welcome packets
* make recommendations to the Board of Directors on insurance needed to protect the Association and assist with securing
competitive bids for insurance coverage
* assist appropriate committees in preparing and distributing bulletins to membership relating to affairs of the Association
* assist Board of Directors in the enforcement of rules and regulations adopted by the Association
* address any property owner concerns
Property Supervision
* cause the grounds, land, and appurtenances of the common elements to be maintained and repaired; including
landscaping, re-landscaping, painting, roofing, cleaning and such other normal repair work as may be necessary
* negotiate and supervise maintenance and service contracts as directed by Board of Directors
* make regular inspections of all common elements and communicate findings to members of Board
Maintenance
* cause to be provided such swimming pool chemicals and supplies as are necessary to insure the proper operation
of all pools and spas
* cause to be provided such landscape maintenance materials and products as are necessary to insure proper and
timely maintenance of all common elements
* cause to be provided such electrical, plumbing or other related services as are necessary in the maintenance
responsibilities of the Association
* cause to be provided regular pest control and annual termite inspections
